1. What we collect

We collect the information you provide and the data the app needs to send reminders:

• Account details: name, email, and WhatsApp number when you sign up or complete your profile.
• Vehicle information: vehicle name, licence plate, and the expiry dates of your Registration Certificate, Fitness, Insurance, and Driver's Licence documents.
• Document images: photos you upload so the app can read expiry dates automatically. The image is processed to extract text and is stored securely while your account is active.
• Notification preferences: which channels you want to use (WhatsApp, email, web push), how many days before expiry you want to be reminded, and the time of day you prefer to receive alerts.
• Payment information: subscription status and payment history through our payment processor. We do not store your card or bank account details on our servers.

2. How we use your data

We use your data only to run the app and communicate with you:

• Track expiry dates and send you the reminders you have set.
• Process your subscription and keep your service active or renewed.
• Improve document scanning accuracy and fix errors.
• Respond to your support requests.

We do not sell your personal information or your vehicle documents to advertisers or other third parties.

3. Document scanning & AI

When you upload a document photo, the image is sent to an AI service to extract the expiry date and document number. This processing is done on our behalf to make onboarding faster. We only use the extracted information to create your alerts; the uploaded image is kept so you can review it later and is deleted when you delete your account or the document.

4. Notifications & consent

By turning on WhatsApp, email, or push notifications, you consent to receive reminder messages about your documents. You can change your preferences or stop reminders at any time from the dashboard or onboarding settings. Standard messaging or data rates from your carrier may apply to WhatsApp or SMS alerts.

5. Payments

Subscription payments are handled by a third-party payment processor. We store only the minimum information needed to confirm your payment status and history. The processor handles card details, tokens, and transaction security under their own terms and privacy policy.

6. Storage, security & shared responsibility

The app runs on a managed cloud platform that provides standard security controls such as encrypted data in transit, access controls, and isolated database accounts. We rely on these platform features to keep your data safe, and we follow reasonable practices to protect access to our own systems.

Security is a shared responsibility: you are responsible for keeping your sign-in credentials safe, uploading only documents you are allowed to store, and using the reminders as a helpful tool rather than your only record of compliance.

7. Retention & deletion

We keep your data for as long as your account is active so the app can continue tracking your documents. If you delete your account or a specific document, we remove the associated data from active storage within a reasonable time. Some information may be retained for legal or billing purposes after deletion.

8. Your rights

You can:

• View and update your profile, vehicles, documents, and reminder settings from the app.
• Delete vehicles, documents, or your entire account at any time.
• Change or turn off notification channels.
• Contact us to ask about the data we hold or to request corrections.

9. Updates

We may update this Privacy Policy as the app changes. When we do, we will revise the date shown at the top of the page. Continued use of the app after changes means you accept the updated policy.
